Information submitted through our website forms is sent to us and may also be stored on the website server. We may also receive limited information from advertising and analytics providers where you have permitted the relevant tracking technologies.
4. Why we use your information
We use personal information where necessary to:

Depending on the circumstances, our lawful basis under UK data protection law may be:
Contract or steps before entering into a contract — for example, responding to a quotation request, arranging an appointment and providing the requested service.
Legal obligation — where we need to retain information to comply with tax, accounting or other legal requirements.
Legitimate interests — where reasonably necessary for the operation and protection of our business, provided those interests are not overridden by your rights and interests.
Consent— where required, including for non-essential advertising or tracking technologies and where we rely on consent for the use of photographs for promotional purposes.
5. Payments
Payments for our services are not processed through this website.
Customers may pay by:
- cash;
- bank transfer; or
- card/contactless payment using our payment terminal.
Card payments are processed by SumUp, and banking transactions may be processed through Monzo Business. These providers process payment information according to their own privacy and security arrangements. Caledonia Carpet & Upholstery Care does not receive or store your complete payment-card details through this website.
6. Photographs and before-and-after images
With the customer’s permission, we may take photographs of carpets, upholstery or other items before, during or after cleaning. These photographs may be used to demonstrate our work on our website, portfolio or social media. We only use such photographs for promotional purposes with the customer’s permission. We aim to avoid including information that unnecessarily identifies the customer, such as names, house numbers, personal documents or other identifying details.
Where we rely on your consent, you may withdraw that consent by contacting us at info@caledoniancarpetcare.co.uk. Withdrawal of consent will not affect processing that was lawful before the consent was withdrawn.
7. How long we keep information
We do not intend to keep personal information for longer than reasonably necessary. As a general policy:
Enquiries and quotations that do not result in a booking may normally be retained for up to 12 months after the last meaningful contact, unless there is a legitimate reason to retain them for longer.
Customer, transaction and business records relating to completed services may be retained for the period necessary to meet our legal, tax, accounting and record-keeping obligations.
UK rules require self-employed businesses to keep relevant business records for at least five years after the 31 January Self Assessment submission deadline for the relevant tax year.
Information may be retained for longer where reasonably necessary in connection with a complaint, dispute, legal claim or other legal requirement.
Website form submissions stored on our server will be periodically reviewed and deleted when they are no longer required for the purposes described above.
8. Who we may share information with
